Onboarding is our job, not yours. Here is the exact sequence from the discovery call to your VA owning the work.

Day 1

Discovery call

A 30 minute call where we map your workflow, your tools, and the three things eating the most time. You leave with a written scope of what your VA will own.

Day 2

Match and NDA

We select your VA from the trained bench based on your stack and your workload. NDA is signed before anyone sees an account.

Day 3 to 4

Access and system training

Delegated access is set up through your password manager. Your VA trains on your CRM, your templates, your tone, and your listing process.

Day 5

Supervised start

First real tasks run with our review on top of them. You approve the first batch of outbound so the voice is right before anything scales.

Day 7

Fully operational

Your VA owns the agreed scope end to end, with a weekly summary and a direct line to the founder if anything needs adjusting.

NDA before access

A mutual non disclosure agreement is signed by SufSol and by the assigned VA before a single account is opened. Client lists, pricing, and deal detail are covered explicitly.

No shared passwords

Access is granted through your password manager or as a delegated user inside your own systems. Credentials are never sent over email or chat, and you can revoke everything in one click.

Data stays in your systems

Client data is worked on inside your CRM, your drive, and your inbox. VAs are not permitted to copy records into personal accounts, personal devices, or unapproved tools.

Auditable and reversible

Because access is delegated rather than shared, every action shows up under a named user in your own audit log. Offboarding is a permission change, not a scramble.

What happens if the VA is not a good fit?

You tell us and we replace them at no cost. There is no replacement fee and no waiting period. We keep a trained bench specifically so a swap takes days rather than weeks.

The incoming VA inherits the SOPs and notes the previous VA built on your account, so you are not starting onboarding from zero.

Do the VAs need my logins and passwords?

They need access to the systems they are working in, but you never send a password over email or chat. We set access up through your password manager or through delegated user accounts inside your CRM and email, so you can revoke any access instantly and see exactly what was touched.

What hours do they work?

Full time VAs cover a standard US business day in your timezone, 9am to 6pm with a lunch break. Part time VAs cover a consistent block you choose, usually mornings, so your follow ups go out while your leads are awake.

Who manages the VA day to day?

You do, for the work itself. We manage everything around it: performance, attendance, training, payroll, and coverage when they are out. If something is off, you message us instead of managing a personnel issue yourself.

What tools and CRMs are they trained on?

Your VA is trained on your stack before day one. That includes the major real estate CRMs, MLS portals, transaction platforms, email and calendar suites, and the AI tools they use to draft, summarize and clean data faster than a standard assistant.

If you use something niche, we build the training around it during onboarding rather than asking you to teach it.

What does the AI training actually mean?

It means the VA is fluent in using AI to do the same work faster and more consistently: drafting follow up copy in your voice, writing listing descriptions, summarizing long email threads, cleaning messy CRM exports, and turning market data into a readable report. The AI drafts, the VA checks and sends. Nothing goes out unreviewed.

How long until they are actually productive?

Fully operational inside the first week. Onboarding, access setup, and system specific training happen before their first day on your account, so week one is real work rather than orientation.

Is this a contract? Can I cancel?

Month to month, no long term contract. Cancel with 14 days notice and you are done. There is no setup fee, no recruiting fee, and no penalty for leaving.

Is my client data safe?

An NDA is signed before any account access is granted. VAs work from a dedicated machine with disk encryption, use your password manager rather than storing credentials, and are not permitted to move client data into personal accounts or unapproved tools.

Can I start part time and move up later?

Yes, and most brokers do. You can move from part time to full time at any point and keep the same VA, so you are not retraining someone new when your volume grows.
